At VSTuition, we strive to ensure full transparency when you, as a client, or your student/learner engage in tutoring sessions with us. This is clearly outlined in the Terms and Conditions within this policy. Please note that VSTuition reserves the right to update these Terms and Conditions. These Terms and Conditions apply to all tutoring sessions conducted online by VSTuition (hereinafter referred to as "the Tutor"). By booking and attending sessions, you (the "Client" or "Parent/Guardian") agree to be bound by these terms.
Booking and Payment
Sessions must be booked in advance and are subject to confirmation by VSTuition. Bookings can be made via email, telephone, or social media.
The Client/Parent must provide at least one contact phone number and email address for online correspondence. They must also inform the Tutor of any special educational needs or medical concerns prior to the lesson.
Sessions are charged at the rates discussed during the enquiry process. Please note that these rates are subject to change; however, reasonable notice will be provided.
Payment for sessions can be processed in two ways:
1. Block Sessions – These will be invoiced one month in advance, with payment due in full prior to the commencement of any sessions within the block. Payment must be made via bank transfer, and details on how to complete the payment will be provided in the invoice.
2. Individual Sessions – Payment for individual sessions must be made in full at least 24 hours before the first lesson. Payment must be made via bank transfer, and details on how to complete the payment will be provided to the Client/Parent.
If payment is not received within the time frames outlined, the relevant session(s) will not be provided.
Cancellations and Rescheduling
Cancellations must be made at least 24 hours in advance to avoid incurring a charge. Cancellations made less than 24 hours before the session will result in a charge of 50% of the session cost.
If a session needs to be rescheduled, the client must notify the tutor as soon as possible. Rescheduling is subject to the tutor's availability.
If a student fails to attend a scheduled session without prior notice, the full session fee will be charged.
In the rare event that a lesson is cancelled by the tutor, an additional lesson will be offered to the student in lieu of the missed session, at a mutually agreed-upon date and time.
If a student is more than 15 minutes late for a lesson, the tutor reserves the right to cancel the session. The client/parent is responsible for notifying the tutor if the student will be late. The tutor will not offer additional time to a student who arrives late.
Session Structure and Delivery
Online tutoring sessions will be conducted via Teams. It is the responsibility of the Client to ensure they have access to the required platform and a stable internet connection.
All materials used during the session will be shared with the student for revision and recapping. Additional resources, links, and support will be provided as necessary.
Each session lasts for 1 hour. The Tutor will make every effort to start and end the session on time.
Confidentiality and Data Protection
All personal information provided by the client will be kept confidential and will not be shared with third parties without prior written consent, except where required by law or regulatory obligation.
The tutor may record sessions for the purpose of review and improvement, but explicit, informed consent will be obtained from both the client and the student before any recordings are made.
Limitation of Liability
The tutor will not be held liable for any technical issues that arise during an online session due to the client’s or student’s equipment, software, or internet connection.
While the tutor will provide high-quality tutoring and support, the success in achieving academic goals is not guaranteed and is contingent upon the student’s commitment, effort, and engagement.
Termination of Services
Either party may terminate the tutoring relationship with 1 weeks’ notice.
In the event of consistent non-payment, disruptive behaviour, or other issues, the Tutor reserves the right to terminate services immediately.
Changes to Terms and Conditions
These Terms and Conditions may be updated from time to time. The Client/Parent will be notified of any significant changes, and continued use of tutoring services will constitute acceptance of the updated terms.
